Privacy Notice

In short

www.cosmion.ai has no analytics, no advertising, no tracking, no social media plugins and no forms, and it sets no cookies. To show you the website, our hosting provider handles your IP address and basic request data. If you email us, we use what you send to reply. That is all.

1. Who is responsible

Coherence Limited, registered in the Republic of Cyprus (HE 490848), with registered office at 195 Arch. Makariou III, 3030 Limassol, Cyprus, is the controller of the personal data described here. Cosmion is a product of Coherence.

For anything about your personal data, email office@coherenceltd.com. We have not appointed a data protection officer, because the law does not require one for our processing; the email address above reaches the person responsible.

This notice covers the website www.cosmion.ai only. Cosmion itself, when it is available to you, will have its own privacy notice.

2. When you visit the website

What: your IP address; the date and time of your request; the page or file requested; the address of the page that linked you here, if your browser sends it; your browser and operating system as your browser reports them; and the result of the request.

Why: to deliver the website to your device, keep it secure and available, and detect and stop abuse such as denial-of-service attacks.

Who: our hosting provider, Vercel Inc. (United States), processes this data on our behalf under its data processing terms. Vercel serves the website through a global network, generally from a location near you.

Legal basis: our legitimate interest in running a secure and working website (GDPR Art. 6(1)(f)). We use only what your browser must send to receive the pages, and we do not use it to identify or profile you.

How long: these request records are kept only for our hosting provider's short log period, then deleted. We do not copy them elsewhere.

3. Cookies and your device

The website sets no cookies and stores nothing on your device: no analytics, advertising or tracking cookies, no local storage and no fingerprinting. Its fonts, images, video, 3D models and code are all served from our own host, so your browser does not contact other companies when you visit.

One exception can arise: if our host's security system needs to check that a visitor is not an automated attack, it may show a check page and set a short-lived cookie for that check alone. Such a cookie is strictly necessary for security and needs no consent (Section 99(5) of Cyprus Law 112(I)/2004).

4. When you email us

What: your email address and name, your message and attachments, and anything else you choose to include. Please do not send us sensitive information, such as health data, that we do not need.

Why: to read and answer your message, and to keep a record of the conversation.

Who: our email provider, Google (Google Workspace), which stores our email on our behalf. Within Coherence, only the people who need to answer you read your message.

Legal basis: our legitimate interest in answering the people who write to us (GDPR Art. 6(1)(f)); where you ask about using Cosmion, steps taken at your request before a contract (Art. 6(1)(b)).

How long: up to 24 months after the conversation ends. If the conversation leads to a business relationship, or we need the messages to establish or defend legal claims, we keep them for as long as that requires.

We will not add you to a mailing list, and we will not send you marketing unless you ask for it.

5. What we do not do

We do not sell or rent personal data, share it for advertising, build profiles of visitors, or make decisions about you based solely on automated processing.

6. Transfers outside the European Economic Area

Vercel and Google are based in the United States, so the data above may be transferred there. We rely on the EU–US Data Privacy Framework where the provider is certified, and on the European Commission's Standard Contractual Clauses. You can ask us for a copy of these safeguards at office@coherenceltd.com.

7. Your rights

Under the General Data Protection Regulation you can ask us to:

• give you a copy of your personal data and information about how we use it (access, Art. 15);
• correct inaccurate data (rectification, Art. 16);
• delete it (erasure, Art. 17);
• limit how we use it (restriction, Art. 18);
• give you data you provided to us in a machine-readable format, where the law gives this right (portability, Art. 20).

Your right to object. Where we rely on our legitimate interests, as described above, you can object at any time, on grounds relating to your particular situation, to our use of your personal data (Art. 21). We will then stop unless we have compelling legitimate grounds, or need the data to establish, exercise or defend legal claims.

To use any of these rights, email office@coherenceltd.com. Requests are free. We reply within one month; where a request is complex we may extend this by up to two further months, and we will tell you why. We may ask you to confirm your identity first. For request records that only our hosting provider holds briefly, we may be unable to identify you from them.

You do not have to give us any personal data. The website works without it, and you only send us data if you choose to email us.

Complaints. You can complain to the Cyprus supervisory authority:

You can also complain to the data protection authority of the EU country where you live or work, or where you believe the infringement took place. We would welcome the chance to help first.

8. Children

The website is not directed at children, and we do not knowingly collect personal data from them.

9. Changes to this notice

We will update this notice before our practices change, for example before we add any new provider, form or measurement tool. The date at the top shows the latest version.
